How to Scan a Timetable into Your School Planner

How to scan your school timetable

1. Take a clear photo

Photograph the timetable on paper, a whiteboard or a screen. Keep weekday headings, lesson times and any room labels in the frame. Avoid glare and crop unrelated names or personal information out of the photo. If the schedule spans several pages, work through them separately so each image stays readable.

AI Scan accepts printed and handwritten documents, but a clear image is still important. A timetable photo cannot supply information that is missing or hidden.

2. Review the extracted classes

AI Scan opens a review screen rather than writing directly to your planner. Check each class name, time, weekday and room against the original timetable. Edit mistakes and deselect rows you do not want to keep.

Uncertain rows are flagged “needs review” and start unselected. Pay particular attention to crowded grids, handwritten times and lessons that run across multiple periods. AI can misread a schedule; the review step is part of the workflow, not an optional accuracy check.

3. Confirm and check your planned week

Confirm the selected rows. Classes go into your student timetable, while tasks and exams go into your homework planner. New subjects can be created during import, or linked to subjects you already use.

Before relying on the result, compare the upcoming week with the original schedule. For A/B weeks or rotating days, also check that the timetable’s rotation matches your school. Set up any reminders you need after the lesson details are correct.

What happens to double periods and subjects?

Back-to-back lessons. When Maths runs 8:00–8:45 and then 8:45–9:30 in the same room, AI Scan can merge the adjacent entries into one class. If they should remain separate, split them during review.

Existing subjects. Recognized subjects can link to the subjects already in your planner. Check those matches so a scan does not create a second record for a subject you already track.

Dates on homework sheets. A phrase such as “due Friday” needs the correct date in your academic calendar. Check relative dates against the teacher’s instructions. If a date cannot be read, choose it yourself before importing.

Different languages. AI Scan supports English, Spanish, Arabic, French and German, including right-to-left Arabic grids. Review subject names and numbers just as you would in an English timetable.

A scanned image is not the same as an imported timetable

Saving a timetable screenshot keeps the original handy, but it does not create classes, associate homework with subjects or make the schedule editable. AI Scan extracts entries that you can review and use in the planner.

Keep the original timetable as a reference, especially at the start of term. If your school changes a room, teacher or lesson time later, update the relevant class rather than assuming the old photo is still correct. A short weekly planning review helps keep both lessons and deadlines current.
